Limit Advance Options based on Current Step of Candidate

When we were in initial conversations, it was implied that we could mirror our Eightfold environment with our Workday environment. However, during the build process, we found that Eightfold did not allow for a similar type of configuration to what’s available in our ATS and that this is not possible. 

 

We would like to be able to limit the advance stage options based on the current step the candidate is in as well as the user role, not just the stage and the user role. 

 

For example, when in the initial application step (Review), you can see ALL of the steps in the Screen stage as a Recruiter in Eightfold. However, in Workday, from Review we have this limited so that the recruiter can only see the ONE next available step in the Screen stage. 

 

The way that Eightfold is set up currently from this perspective will be confusing to the recruitment team and will likely hinder adoption of the tool for moving candidates in the system.

Based on what’s currently documented in the Eightfold knowledge base, there isn’t a supported configuration that filters the “Advance Stage” (next-step dropdown) by both the candidate’s current step and the user’s role in the same way Workday does (e.g., limiting recruiters to only the next valid step from “Review”).
 

What is supported today includes:

1) Stage-group–based transition controls
Within ATS → Workflow → Advanced Stage Mode, Eightfold allows you to control which transitions are considered valid. For example, the onlystagegroup setting limits available transitions to the candidate’s current stage group.
Other modes include showing all stage groups or restricting transitions up to the first mandatory stage.

Limitation: These controls operate at the stage-group level, not at the specific step level combined with role-based filtering.

2) Role-based permissions (action-level control)
Eightfold’s permissions (e.g., advancing or rejecting candidates) determine who can take action in the ATS.

Limitation: While this controls access to actions, it does not dynamically limit which next steps are shown based on the user’s role.

3) Validation rules to prevent invalid transitions
Applicant Stage Advance Rules can be configured to block certain transitions if conditions aren’t met, displaying an error message to the user.

Limitation: This helps prevent incorrect movement but does not remove or hide non-valid options from the dropdown.
